Receptionist

We are looking for an energetic, enthusiastic, and highly organised Receptionist to be the welcoming face of Beal Homes and provide an exceptional first impression to our customers, visitors and colleagues.

As the first point of contact for people visiting or contacting the business, you will play an important role in delivering the professional, friendly and customer-focused experience we expect at Beal Homes.

Alongside managing our reception and front-of-house activities, you will provide a range of administrative support across the business. This is a varied role suited to someone who enjoys working with people, takes pride in providing excellent service and is comfortable managing a number of different priorities throughout the day.

Main Responsibilities:

  • Provide a warm, professional and enthusiastic welcome to all customers, visitors, suppliers and contractors arriving at the business.
  • Ensure every visitor receives a positive first impression of Beal Homes and the high standards we expect as a business.
  • Establish the purpose of each visit and ensure visitors are directed to the appropriate person or department efficiently.
  • Answer and manage incoming telephone calls professionally, ensuring enquiries are dealt with promptly or directed to the appropriate member of the team.
  • Take accurate messages and ensure these are communicated to the relevant person promptly.
  • Take ownership of the reception and front-of-house areas, ensuring they are maintained to a high standard and remain tidy, professional and welcoming at all times.
  • Manage visitor appointments and meeting room bookings, ensuring rooms are prepared and presented appropriately.
  • Meet and greet attendees for internal and external meetings and provide refreshments where required.
  • Manage incoming and outgoing post, parcels, deliveries and couriers, ensuring items are distributed appropriately.
  • Liaise professionally with customers, suppliers, contractors and other external contacts.
  • Provide general administrative support to departments across the business as required.
  • Undertake accurate data entry and maintain Company records and systems.
  • Prepare and format correspondence, reports and other documentation as requested.
  • Maintain accurate and organised electronic and manual filing systems.
  • Assist with the ordering, monitoring and distribution of office supplies and stationery.
  • Support the coordination of internal meetings, events and hospitality where required.
  • Maintain an awareness of expected visitors and key meetings taking place within the business.
  • Build strong working relationships with colleagues across all departments to ensure enquiries and requests are handled efficiently.
  • Maintain confidentiality and discretion when dealing with sensitive Company, employee and customer information.
  • Proactively identify opportunities to improve the reception environment and the experience provided to visitors and customers.
  • Ensure all duties are carried out in accordance with Company policies, procedures and standards.
  • Undertake any other reasonable duties appropriate to the role as requested by line management.

Personal Requirements:

  • An energetic, enthusiastic and positive approach, with a genuine enjoyment of working with people.
  • A friendly, confident and professional manner, with the ability to make customers and visitors feel welcome.
  • Previous experience within a receptionist, office administration, hospitality or customer-facing role would be advantageous.
  • Excellent customer service skills and a strong understanding of the importance of creating a positive first impression.
  • Excellent communication skills, both verbal and written.
  • Professional and confident telephone manner.
  • Strong IT skills, including Microsoft Office applications.
  • Strong organisational and administrative skills.
  • High levels of attention to detail and accuracy across both manual and systems-based work.
  • Ability to multitask effectively and manage changing priorities throughout the working day.
  • Ability to remain calm, positive and professional when working under pressure.
  • A proactive approach with the confidence to use initiative and take ownership of tasks.
  • Strong teamwork and the ability to build effective working relationships with colleagues across the business.
  • Great enthusiasm and attitude for the role.
  • Reliable, punctual and well organised.
  • Ability to work to deadlines.
  • A professional and presentable manner appropriate to a front-of-house role.
